Deleting or resetting records – and why you should not delete when updating

You can delete or reset individual records in your monitoring list, delete several records at once via a list of names, and remove all records in the danger zone. Important: to update your list you do not delete anything beforehand – you simply upload a new file. This article explains the differences and the golden rule behind them.

How do I change a name in monitoring?

Not directly – you delete the wrong record and create it again. An existing entry cannot be renamed afterwards; there is no edit field for the name or the reference.

Here is what to do when a name is misspelled or contains boilerplate:

  1. Delete the faulty record (see below).
  2. Create it again with the correct spelling – individually, in bulk via the text field, or by importing a file.
  3. Fix the cause in your source system (ERP/CRM). Otherwise the wrong name comes back with the next import.

The newly created name is screened against the current lists shortly afterwards. Expect another hit notification if that name has produced a hit before – as far as the system is concerned, it is new.

Only a single record affected? Then delete only that one. Never delete the whole list to correct it – the reason is under Good to know further down.

Careful – a genuine name change works differently. The steps above apply to names that were captured incorrectly (typos, boilerplate). If the name has actually changed (marriage, rebranding), do not delete the old name straight away: it should stay in monitoring for a while, because new listings frequently still use former names. Step by step

  1. Open the monitoring overview, choose the module you want at the top and click “Edit list”. You are taken to the “View & edit records” page.

Delete or reset a single record

  1. Find the record in the “Records for the automatic … check” table.
  2. The “Actions” column offers two functions:
    • Delete – removes the record from the list completely. On success the message “Record was deleted successfully.” appears.
    • Reset – clears the record’s screening status. First a confirmation prompt “Reset record? It will be checked again.” appears; after you confirm, the message “Record was reset. It will be checked again during the next screening.” signals success.

Delete several records via a list of names

  1. In the “Add a single name” area, click “Bulk delete”. A dialog window (modal) opens with the note “Records are matched by name and permanently deleted.”
  2. Enter one name per line in the text box.
  3. Click “Delete” and confirm the prompt “Really delete all matching records?” in the confirmation dialog (modal). The result then appears as a short toast, e.g. “… deleted, … not found.” – the first number is the deleted records, the second the names that were not found.

Delete all records (danger zone)

  1. At the very bottom of the page you find the red-bordered “Delete all records” area with the note that the operation cannot be undone and that existing hits are retained (“Existing hits are retained.”).
  2. Click “Delete all records”. The confirmation modal “Really delete all?” opens and states the number of affected records (e.g. “Do you really want to delete all N records from the … list?”).
  3. Confirm with “Yes, delete all” or abort with “Cancel”.

Good to know

  • Delete vs. reset: When you delete, the record disappears from the monitoring list entirely. When you reset, the record stays and counts as “not yet screened” again – it is checked again on the next run, against the entire list content. Hits already recorded and their assessment are retained and stay visible in the hits overview; if the renewed screening produces a hit again, an additional entry is added. Use reset when a record should be screened from scratch once more.
  • “Delete all records” is irreversible: the operation removes all records of the monitoring list and cannot be undone. Hits already recorded are kept and remain visible in the hits overview.
  • Bulk delete matches by name: exactly those records are removed whose name matches a line in your list. Names that are not found are reported in the result message as “… not found”.

Golden rule – never delete first when updating. If you want to update the records you screen, never delete the existing records first. Hits you have already assessed would then be reported again as new hits. Instead, simply upload a new file – records that already exist are skipped automatically on import (duplicates). This keeps your previous assessments intact.

Frequently asked questions

What is the difference between deleting and resetting? Delete removes the record from the list completely. Reset keeps the record and returns it to “not yet screened”, so it is screened in full again – afterwards you see “Record was reset. It will be checked again during the next screening.” Hits already recorded and their assessment are retained.

I cannot see the delete or reset function. You need the right to edit lists. Without this right, trying it shows “You do not have permission to delete lists.” Please contact your manager access or customer service.
