How easycompliance works: platform, modules and permissions at a glance

easycompliance is a self-service portal for sanctions list screening and continuous compliance monitoring of your business partners. This article explains, in plain language, which screening modules exist, how individual checks and automated monitoring work together, and what the terms around accesses, permissions and quota mean. It is the starting point that all the detailed articles link back to.

What the customer portal is

The customer portal is your self-service portal: you screen individual names ad hoc against the relevant lists, or you have an uploaded list of business partners monitored continuously and automatically. Hits are reported to you, and you assess them in the portal. This way you document your due diligence in a traceable manner, all in one place.

Screening modules

Which modules are enabled for you depends on your plan. The enablement is the same for all accesses of the same customer.

  • Sanctions Lists – in the “Sanctions Lists” menu. Screening against the relevant sanctions lists.
  • PEP Screening – in the “PEP Screening” menu. Screening against lists of politically exposed persons.
  • Dow Jones – in the “Dow Jones” menu with the sub-modules “Dow Jones MAE”, “Dow Jones TRAE” and “Dow Jones SCO” (Dow Jones risk data).

If a module is not enabled for you, its menu entry does not appear. To discuss which modules you would like to use, contact customer service.

Two ways of working: individual check and monitoring

easycompliance offers two basic ways of working that complement each other:

  • Individual check (the “Run Individual Check” menu): you enter one name ad hoc and receive the result immediately. Ideal for quickly screening a new business partner. You can add results to the archive.
  • Automated monitoring (the “Automated Screening (Monitoring)” menu): you upload a list of your business partners; the system screens it continuously and reports new hits. This keeps existing partners permanently monitored without you re-entering every name.

Both ways of working use the same screening modules (sanctions lists, PEP, Dow Jones), as far as these are enabled for you.

Accesses and permissions

So that you can place the terms around accesses correctly:

  • Main access (customer): your company’s customer number – the actual customer or tenant.
  • Additional access: an extra staff login with its own customer number and its own permissions. Which features an additional access sees depends on its permissions.
  • Manager access / switching tenants: a manager access can use “Switch Tenant” to move between several customers (tenants). See the article Switching tenants as a manager for details.

The important distinction is between two things:

  • Permissions define what an individual access is allowed to do (e.g. import, assess, print). They can differ from access to access.
  • Enabled modules define which checks are available to the customer (sanctions lists, PEP, Dow Jones). They are the same for all accesses of the same customer.

So an access only sees the modules that are enabled for the customer – and, of those, only the features it is permitted to use.

Quota

The quota is the extent to which your plan covers checks or monitored records. In the dashboard, under “Quota”, you see your current utilization. If the quota is exhausted, contact customer service to adjust it.

Test accounts

Test accounts (customer numbers with the prefix TEST) are for trying things out and are not representative of a production account. In test accounts, printing and export are disabled. If you would like to work productively after the trial, contact customer service.

How the search behaves in general

The check does not only compare exact spellings; depending on the configured search pattern, it also takes name variants and similar spellings into account, so that hits are found despite minor deviations. Good to know

  • Modules follow the plan: modules that are not enabled do not appear in the menu at all.
  • Permissions are per access: two staff members of the same customer may see different features.
  • Test accounts are restricted: printing and export are disabled there, and the results are not representative.

Frequently asked questions

What is the difference between an individual check and monitoring? The individual check screens one name ad hoc and returns a result immediately. Monitoring screens an uploaded list continuously and reports new hits automatically.

Why don’t I see a module (e.g. PEP or Dow Jones)? Modules depend on your plan. If a module is not enabled, its menu entry does not appear. Discuss the scope with customer service.

Why does a colleague see different features than I do? Each additional access has its own permissions. Which features an access sees depends on those permissions – the enabled modules, by contrast, are the same for all accesses of the customer.

What does “quota” mean? The quota describes the extent covered by your plan. You see your current utilization in the dashboard under “Quota”.

Are the results in a test account complete? A test account is only for trying things out and is not representative. In addition, printing and export are disabled there.
